A hotel address is not a complete pickup plan

Confirm the lobby, loading zone, passenger name, and backup contact before a prebooked hotel ride.

Hotels often have several places where a vehicle could arrive: a main entrance, a side lobby, a conference entrance, or a curb reserved for loading. A reservation that lists only the property address can leave the passenger and driver waiting in different places. A short pickup plan makes the meeting point clear without sharing more guest information than the transportation office needs.

Name the entrance and curb

Give the transportation office the hotel name, street address, entrance name, and approved pickup area. If the hotel uses a one-way driveway or a separate rideshare zone, ask the front desk which location a prebooked vehicle should use.

Describe a fixed meeting point such as the lobby doors or bell desk. Avoid directions based only on a temporary sign, parked vehicle, or employee who may not be working when the ride arrives.

Decide when the passenger will come downstairs

Allow time for elevators, checkout, luggage collection, and the walk through the lobby. The scheduled pickup time should not be the moment the passenger begins leaving the room.

Ask whether the property permits a vehicle to wait at the entrance and for how long. If waiting is restricted, the passenger should be ready at the agreed location and reachable by phone.

Share only useful identifying details

Confirm the passenger name that appears on the reservation and a working contact number. A room number usually is not a substitute for a meeting point, and it should be shared only when the provider says it is necessary for the trip.

If a family member arranged the ride from another city, identify one person who may approve or clarify instructions. Multiple callers giving different lobby directions can create avoidable confusion.

  • Hotel and exact entrance.
  • Approved loading or pickup area.
  • Passenger name and reachable phone.
  • One backup contact.

Plan the return as a separate pickup

The return trip may start at a restaurant, medical office, airport, or event venue rather than the hotel. Confirm its own address, entrance, meeting point, and contact process instead of copying the first pickup instructions.

If the itinerary changes, update the transportation office through its designated channel and obtain confirmation. Telling the hotel desk alone does not change the ride reservation.
