Preparing a power wheelchair for a scheduled ambulette trip

What to report about the mobility device, pickup access, controls, and trip changes before a planned wheelchair transportation ride.

A power wheelchair is part of the passenger’s mobility and independence, not ordinary luggage. The transportation plan should reflect the specific device that will travel that day. Clear information helps the provider assess the trip, prepare an appropriate vehicle, and avoid curbside surprises.

Describe the wheelchair that will actually travel

Tell dispatch that the passenger uses a power wheelchair and share the make or model if known. Report relevant dimensions, approximate combined occupied weight if available from reliable records, and any unusual configuration such as a high back, extended foot supports, or a mounted communication device.

Do not assume that information from an older reservation is still current. A replacement chair, new seating system, added oxygen holder, or other equipment can change space and securement considerations. Let the provider assess whether the requested trip and equipment can be accommodated.

Report what can and cannot be adjusted

Explain whether the chair’s controls can be disengaged, whether it can be placed in freewheel mode, and whether the passenger can operate those functions. Bring the manufacturer’s instructions if a setting is unfamiliar. Transportation staff should not be expected to troubleshoot or repair the wheelchair.

Keep hands away from vehicle lift, ramp, and securement equipment unless trained personnel direct otherwise. The transportation team is responsible for its equipment and procedures. The passenger should describe comfort or positioning concerns before movement begins.

Check the trip path at both ends

Confirm that the pickup and destination entrances have a usable path for the occupied device, including door width, ramps, elevators, and turns. Describe steps, steep grades, loose surfaces, construction, or a lift that is out of service.

A vehicle may be accessible while the building route is not. Arrange access with the property or facility and identify an alternate approved entrance when needed. Do not ask the driver to improvise a route over an unsafe surface or through a restricted doorway.

Prepare the device without changing its clinical setup

Charge the wheelchair according to the manufacturer’s instructions and secure personal items so they do not interfere with driving, boarding, or transportation securement. Tell dispatch about detachable components and any equipment that must remain with the passenger.

Do not alter seating, supports, batteries, or medical equipment solely for transportation unless the appropriate manufacturer, clinician, or equipment professional has provided instructions. Questions about posture, pressure relief, or clinical positioning belong with the passenger’s care team.

Repeat the device details when the trip changes

If another wheelchair will be used, the pickup entrance changes, or additional equipment needs to travel, update the reservation before the day of service. A change that seems small at home may affect the transportation plan.
